This policy covers information collected through rkzho.shop (pages visited, form submissions, correspondence) and information received in the ordinary course of our holding-company and head-office activities. It does not govern third-party websites we link to, and it supplements — never replaces — confidentiality duties owed under agreements, fiduciary obligations or law.

2.1 Information you give us

• Contact details: name, company or capacity, email address and phone number sent through the letter form or email.
• Correspondence content: whatever you write to us, including register references and the matters you raise.
• Governance information: where a lawful corporate relationship exists, information reasonably required for records — officer and contact details, executed instruments and administrative files kept at the office.

2.2 Information collected automatically

• Server logs: IP address, browser type, pages requested and timestamps, collected by our hosting provider for security and delivery.
• No tracking pixels: we do not run advertising pixels or cross-site trackers on this website.

2.3 Information we do not want

Do not send wire instructions, account numbers, executed proxies, signature pages or confidential board materials through website forms or ordinary email. Executed instruments move only through officers and counsel in writing.

3. How we use information

• Responding to correspondence directed to the registered office.
• Maintaining the corporate register, minute books and administrative records.
• Performing head-office functions: centralized administration, officer coordination and subsidiary oversight records.
• Meeting legal, tax, record-keeping and regulatory obligations under Ohio and federal law.
• Protecting the company, its officers and correspondents from fraud and impersonation, and enforcing our terms.

4. Legal bases & consent

We process personal information to respond to letters you initiate, to perform duties under instruments you are party to, to comply with legal obligations (corporate records, tax, retention), and for legitimate interests in running a secure, professional registered office. Where consent is the basis you may withdraw it by contacting us; withdrawal does not affect prior processing.

5. Disclosure of information

We do not sell personal information. We may share it with:

• Service providers hosting, email and records systems under confidentiality obligations;
• Officers, counsel and advisers — only as needed for the matter at hand;
• Regulators and courts where the law requires;

Minute books, registers, instruments and correspondence files are confidential corporate records. Access is limited to officers and personnel who need it for the matter. We do not discuss corporate affairs with third parties without authorization or lawful compulsion.

We maintain reasonable administrative, technical and physical safeguards: restricted access to corporate records, encryption in transit for hosted services, and phone or counsel verification before acting on any instruction that changes banking, officers or records. No system is perfectly secure; if we learn of a breach affecting your information we will notify you as the law requires.

8. Retention

• Website correspondence: retained while the matter is active, then archived or deleted within 24 months unless a corporate relationship follows.
• Corporate records: minute books, registers and executed instruments are retained for the periods required by Ohio law and the company's record-keeping schedule — permanent where instruments so require.
• Server logs: retained by the hosting provider under its own schedule.

9. Your rights

Depending on your jurisdiction you may request access to, correction of, or deletion of personal information we hold about you, and may object to certain processing. 10. Children

This website addresses corporate correspondents. We do not knowingly collect personal information from children under 13. If you believe a child has submitted information, contact us and we will delete it.

11. Impersonation & wire-fraud warning

We will never email you unexpected wire instructions, signature requests, officer changes or requests for account details. If you receive such a message claiming to be from RKZ, verify by phone at +1 (267) 851-3953 before acting — using a number you already know, not one from the suspicious message.
